Role: Assistant Registrar 

Job Responsibilities: 

  • Smooth coordination of Academic and Research Activities of the University with the Ministry of Education and the UGC Bangladesh. 
  • Sound and in-depth knowledge of the Private University Act 2010. Supervised of preparation of information related to instruction for Academic Ordinance, UGC Policy and BAC Manual procedures, faculty handbook, etc. Supervised, coordinated, and evaluated all areas of academic programs and services for effectiveness and efficiency and the daily report to the Registrar and VC USTC.
  • Providing all academic and administrative support to the development of policies and procedures as they relate to current theory, trends, and legislation for the areas of Academic Affairs including Academic Council and Syndicate meetings.
  • Maintaining the accuracy and security of all academic records of current and former students and monitoring effective student registration process, as well as an effective transcript evaluation process in association with APOs and the office of the CoE.
  • Building and maintaining an accurate up-to-date curriculum management system, University management system, course schedules, and exam schedules as recorded in the Academic calendar published.
  • Monitoring of the registration of ongoing and incoming students, credit transfer, also records of foreign students and faculty members.
  • Conducting daily meetings with the Admission Office to get updates on the Admission Process and to frame the policies with CAC.
  • Dealing with the accreditation process, cases of migration, signing of different additional certificates, convocation activities and preparation, records of the steering committee meetings, and monitoring of online activities including print and electronic media.
  • Communicating regularly with the UGC, BAC, and MoE to get updates on pending matters under the supervision of the Registrar.
  • Facilitating the budget and program schedule for Seminars/Conferences/Workshops/Orientation/Short-courses as per the schedule. Ensuring meaningful usage of classrooms, different labs, library, student career and development center, hall room, canteen, auditorium, international office, and activities on collaboration, participation in different local and international seminars, symposiums, workshops, training programs, International events, etc, during the full-length office hours.
  • In-depth attention to all forms of online activities which are the current trends and gateways of BRANDING of the university.
  • Planning staff development, taking care of their problems, and managing the annual budget of the Registrar's Office.
  • Performing any other duties and responsibilities assigned by the University Management from time to time.
  • Such other duties are within the scope of the spirit of the job purpose, the title of the post, and its grading.
  • Supervision of APOs and OSSes as appropriate to get updates on the implementation of academic programs for the preparation of daily reports. Coordination with the Proctorial Committee and Student Welfare Committee to get the updates.
  • Coordination with USTC Research Cell and NIC4IR to get the updates. Coordination with the USTC Journal and Newsletter Committee to get the updates.
  • Coordination with the Central and Departmental Library to get the updates. Other duties are assigned by the USTC authority.

Requirements:

  • Master's Degree with 4 or 3 years' honors in any discipline with good academic records (minimum second class/division or equivalent GPA). No third class/division in any public examination be entertained. Candidates with PhD or higher qualifications shall receive preference.
  • Minimum of 2-3 years managerial experience as Assistant Registrar in any reputed Public/Private University or equivalent post in any agencies in Bangladesh Army/Navy/Air Force or other similar positions with excellent Computer and IT skills and having initiative and problem-solving, critical thinking, collaboration, cooperation, and leadership skills.
  • The incumbent should have fluent communication and writing skills in Bangla and English and computer and IT Knowledge. In-depth knowledge of the Private University Act 2010, BNQF Rules, UGC rules, and BAC Manual.
  • Excellent written, verbal, and interpersonal communication skills in dealing with foreign collaborating institutions and embassies/HCs. Attuned to details and insistent on correct information and data, both verbal and written; Experience with Student Information Systems (SIS); development of reports, plans and budgets, and regulations related to student records using software.

Additional Requirements: 

  • Age at most 40 years.
  • Skills/Abilities: Ability to implement policies and procedures and decisions of the meetings. Excellent computer and IT literacy, including preparation of PPT presentations for meetings and online/offline/Zoom meeting facilities. Proven commitment to multiculturalism and ability to work with a diverse student body and faculty members/staff. Ability and willingness to work effectively with local/international students.
